Working with Committees

Overview

Welcome to the Committees guide! Use the navigation menu on the left to jump directly to a specific topic, or select one of the core guides below to get started:

In this video, we’ll be looking at what you see when working in a committee, starting from the main committee landing page. You can access this page by clicking Manage in your top menu and selecting Committees, which loads the full list of committees in your database.

Using the Board of Directors committee as an example, the interface is split into two main sections: the Core Area on the left and the Flex Area on the right.

The Core Area (Left-Hand Side)

The Core Area displays foundational details and quick actions for the selected committee:

  • Basic Details: Shows the committee name, date range for the current term, the next scheduled meeting date, and a description explaining the committee’s purpose.

  • Login & Access Rules: Displays configured website security rules. This capability lets you restrict specific web pages so that only members assigned to this committee role can view them online.

  • Core Actions:

    • Email Participants: Send bulk emails directly to committee members.

    • Print Participant List: Generate a printable copy of all active participants.

    • View Overview/Statistics: Review key metrics, including total participants, total meetings, Average Meeting Participation (the average number of members who indicated they would attend), and Average Participant Attendance (the average number of members who actually showed up).

  • Updating & Archiving:

    • Edit Committee: Click the edit icon to update the committee name, effective date range (term), or description.

    • Archive Committee: Allows you to clean up your main landing page by hiding committees that are no longer active (such as past annual terms). Archived committees are never permanently deleted; they can always be recovered and restored via Admin Settings whenever you need to retrieve historical data.

The Flex Area (Right-Hand Side)

The Flex Area organizes detailed information into distinct panels. You can use the Quick Panel Access icon in the top right corner to instantly jump to a specific section without scrolling:

  1. Participants Panel: Displays everyone associated with the committee group. (Detailed further in the dedicated Participants Panel video).

  2. Meetings Panel: Lists all scheduled meetings, allowing you to manage and track both expected attendance (“intended to show up”) and actual attendance (“truly showed up”). (Detailed further in the dedicated Meetings Panel video).

  3. Login & Access Rules Panel: Controls the roles and website integration settings that hide exclusive content—such as meeting minutes or private calendars—behind a member login. (Detailed further in the dedicated Login and Access Rules video).

Adding New Committees

If you need to create a new committee (for instance, setting up groups for a new fiscal year), you don’t need to return to the main landing page. Simply click the Add a Committee button at the top of the page to fill out the new committee’s details and save it immediately.

If you have any questions about committees, feel free to reach out and we’ll be more than happy to help.

Common Questions

  • How do I delete a committee completely instead of archiving it?

Membee archives committees to preserve historical participation records, meeting logs, and audit trails. Permanent deletion is intentionally disabled to safeguard your organization’s historical member interaction data.

  • Why does a committee member appear twice in the search dropdown when adding a participant?

Membee displays two entries when an individual profile is linked to an employer organization. The standalone entry assigns committee participation to the individual, while the entry combining the individual and company assigns participation to the employer record. Select based on whether the individual or the organization holds the primary membership.

  • Will deleting a participant from a committee delete their main member profile in Membee?

No. Removing a participant from a committee only clears their association with that specific committee. The contact’s primary profile, transaction history, and general membership status remain fully intact.
