Notes & Tasks

View notes (tour)

Notes can be viewed via the Notes page or in the Notes and Tasks panel on person or organization/family/club records.

Notes are important, as they allow you to view a history of the membership! This includes automated updates and email communications associated with the member. When a note is recorded, there are a couple of key points:

  • Membee keeps all emails in the Email Log for 180 days. Notes created with a copy of the email is stored indefinitely.
  • If text was pasted into the Membee editor from another editor (for example, an email or Word document), there may have been extra code added that’s not compatible with Membee’s editor. For compatibility and performance, some formatting is removed to simplify the note after 180 days, but the content remains unchanged.

In this video, we’ll take a look at how you can easily view notes from the notes page and from within records. First, we’ll take a look at the notes page by clicking “Notes” in the main menu.

The notes are arranged in three tabs. First, User Notes, which are custom notes added by you or another Membee user at your organization. Second, Membee Notes—these are notes created automatically by Membee. Often these notes will be records of emails that Membee has sent, or details for updates to a membership, such as when a member’s status changes. The third tab is All Notes, where you can see both User Notes and Membee notes listed together. To make it easier to find specific notes, you can click the filter button. This allows you to filter the notes based on different criteria, such as the note type or certain text contained within the note.

Notes can also be viewed directly from within records as well. After navigating to a specific member record, you can scroll down to the Notes and Tasks panel to see a full list of notes connected to them. Just like on the main Notes page, you can also click the filter button here to narrow down the list.
